Event pilot to optimise planning

Suitable location for events is crucial. New online tool to help executives and organizations

Hamburg is gaining popularity and areas like the Hamburg Town Hall Square, HafenCity and, of course, Reeperbahn, are in great demand among event planners. However, finding an ideal location takes time and effort for both event organizers and managers of such areas. Until now, different people and contact persons have managed several open air spaces. And each location had different rules, regulations and peculiarities that had to be borne in mind. This situation is likely to be alleviated with the new online tool or event pilot, the so-called Eventlotsen Hamburg by the Hamburg Convention Bureau GmbH (HCB) that launches online Wednesday (June 8th). The tool offers support to all those involved and will prevent dates from clashing in future.

Information pool on spaces

The tool will simplify co-ordination between event organisers, managers of available spaces and approving authorities and reduce the workload. An overview of 40 open air spaces in the city and the terms of use will be available online and guide interested parties straight to the responsible contact person.

Five years advance planning

The event pilot’s internal planning tool is another innovation which has been developed exclusively and only for organizers and managers of spaces who are directly involved in big events in Hamburg. It gives an overview of events planned over the next five years or of ones already underway. This prevents dates from clashing with each other early on.

More transparency and improved planning capability

Thorsten Kausch, Managing Director of the Hamburg Convention Bureau and Hamburg Marketing GmbH, said: “The event pilot is an online tool which we have developed to give Hamburg a long-term structure as an event location. The platform can emphasize certain features and set a positive note in the medium and long term making our city even more attractive and liveable. It creates more transparency and eases work for all the people involved and optimises daily business planning – another advantage that Hamburg has an international destination.”
